TERMS AND CONDITIONS OF USE PLEASE READ THE FOLLOWING TERMS AND CONDITIONS CAREFULLY BEFORE USING THIS SITE.

By using this site, you signify your agreement to these Terms and Conditions. If you do not agree to these Terms and Conditions, do not use this site. City Hotel Reservations may modify these Terms and Conditions at anytime.

1. Prices
1.1 All prices are for pre-booking and include VAT and service charges.
1.2 Hotel prices are given in GB£s per room per night.
1.3 Some hotel packages require part prepayment of the total price in advance. In this case the card used to guarantee the booking will be charged the necessary amount. The remainder will be required on check in at the hotel.

2. Booking Confirmation
2.1 Confirmation details, which include booking reference numbers and cancellation policies, will be sent to the email address provided when completing the online booking form.
2.2 Confirmation will not be sent by post unless specifically requested or where an incorrect email address has been provided. This service is subject to an additional administration fee of £3.
2.3 Special requests will be noted but cannot be guaranteed.

3. Cancellations and Amendments
3.1 If you need to cancel or amend a booking please email res.support@gatwickreservations.com.
3.2 All cancellations and amendments must be made through City Hotel Reservations Ltd at least 24 hours in advance of the stay date. Failure to cancel within the specified time frame will result in one night’s accommodation being charged per room booked.
3.3 Where no part payment has been taken in advance an administration fee of £10 per room per night will apply to all hotel cancellations.
3.4 Where no part payment has been taken in advance an administration fee of £10 will apply to all amendments that result in a reduction in the number of rooms or nights originally booked.
3.5 Cancellation instructions are made clear on the hotels description page and in the booking confirmation email.

4. Hotel and Hotel & Parking Packages
4.1 Directions: Please make sure that you have the necessary directions to your hotel.
4.2 Transfers to and from the airport: Transfers times are different at each hotel. Please check hotel description for details. All transfers are subject to availability on the day.
4.3 Facilities: Hotel facilities are accurate at time of publication.
4.4 Meals: City Hotel Reservations is not responsible for booking meals. Required meals should be arranged directly with the hotel.
4.5 Family Rooms: Accommodate 2 adults and 2 children under the age of 16 (in some cases 15). In some cases family rooms accommodate 2 adults and 3 children. It will be made clear if a family room can accommodate 5 occupants.
4.6 Leisure Facilities There may be charges for leisure facilities and admission may be restricted for children.
4.7 Hotel Rates and Packages Including Holiday Parking: Parking is always at the vehicle owner’s risk. Most hotels own car parks are unsecured unless otherwise stated. Where a hotel with parking package uses a secured car park, cars are parked subject to the conditions and insurance arrangements of the individual car park. In these cases, you will often park for the night of your stay in the hotel’s own car park, which is unlikely to be secured. Car parking arrangements vary from hotel to hotel. Please make sure you know exactly what your arrangements are before you travel. Where parking is offered as an 8 or 15 day option, the full number of days does not have to be used, but there is no reduction in price if it is not. If you leave your car for longer than the duration included, you are likely to be charged locally by the hotel or car park for the extra days. The Sofitel Hotel North Terminal: The Sofitel utilises the North Terminal NCP Flightpath Car Park as it's designated long term car park. Long term parking is not located onsite at the hotel. Guests can however, park at the hotel whilst checking in and unloading luggage. The long term car park is just a few minutes from the hotel and shuttles run 24 hours a day to and from the car park. Car Keys: In the interests of efficient operation you must be prepared to leave your car keys with the hotel or car park if requested to do so.
4.8 Hotels reserve the right to arrange offsite parking during busy periods and can not guarantee that your car will be parked onsite at the hotel.

5. Insurance
5.1 All parking is subject to the terms and conditions of the individual car park.

6. Refunds
6.1 No refund is made for failure to cancel bookings directly within the specified cancellation period.
6.2 In some instances a part payment / deposit will be required at the time of booking. Part payments are non refundable under any circumstances.

7. Customer Service
7.1 Any queries relating to the processing of customer bookings or the services provided by our suppliers should be addressed to The Manager, City Hotel Reservations, email: general@chreservations.com. Please state your Booking ID number. In accordance with our customer services policy: City Hotel Reservations will endeavour to respond to all correspondence within five working days, advise clients how long it will take to resolve the query, keep the customer informed throughout the process.

8. Services
8.1 All services are subject to availability. City Hotel Reservations does not guarantee the availability of rooms and / or room & parking packages. The availability of your chosen hotel and / or parking package is subject to final email confirmation.
8.2 In the unlikely event that a hotel is overbooked, accommodation in an alternative hotel may be offered where possible.
